Applying for a UK, Schengen, Canada or many other visas usually means a visit to a visa application centre, often run by VFS Global, to submit documents and give biometrics (fingerprints and a photo). For most applicants from Thanjavur district, that centre is in Chennai. That is a long trip, so it should be done in one visit. This checklist helps.
Before the appointment day
- Complete the online application for the country. Every answer must match your passport and documents exactly.
- Pay the visa fee as instructed by the country (online or at the centre). The centre also charges its own service fee.
- Book the appointment for the correct visa category and centre. A booking under the wrong category can be refused at the door.
- Download the checklist for your visa from the official website and arrange your documents in that order.
- Plan the journey: leave early so you reach the centre before your time slot.
What to carry
- Printed appointment confirmation.
- Your original passport, and any old passports with previous visas.
- The printed and signed application form, if your country requires it.
- Photos to that country's exact size and background rules, if requested.
- Supporting documents: originals and photocopies, in the checklist order (bank statements, salary slips or business proof, invitation or hotel booking, itinerary, travel insurance, etc.).
- Proof of fee payment, if paid online.
What you usually cannot take inside
For security reasons, most centres do not allow large bags, laptops, food or liquids inside, and some restrict mobile phones. Lockers are not always available. Travel light and carry your documents in a clear folder.
10 mistakes that mean a second trip
- Booking the appointment under the wrong visa type.
- Name or date-of-birth spelling different from the passport.
- Passport with too little validity or no blank pages.
- Photos with the wrong size or background, or more than six months old.
- Bank statements not stamped or not covering the required period.
- Missing translations for documents not in English.
- Travel insurance that does not meet the minimum cover (Schengen needs at least €30,000 medical cover).
- Forgetting the old passports that show your previous travel.
- Arriving late, after your time slot.
- Bringing a large bag with nowhere to keep it.
At the centre
You go through security, a token or queue system, document submission and then biometrics. Staff at the centre check that your file is complete but do not decide your visa; the embassy does. Optional services such as SMS updates or courier return of your passport cost extra; choose only what you need.
After the appointment
Keep your receipt. You can track your application online with the reference number. When the decision is made, you collect your passport or receive it by courier.
